Exhibit Booths

All Exhibit Booths are 10' x 10'. They are furnished with an eight-foot high back wall drape and 36" high side rail drapes. Drape colors are green and purple. Also supplied is a 7" x 44" identification sign showing your company name, city, state and the booth number if ordered in advance. The Exhibit facilities are fully carpeted, in a patterned carpet in your booth and adjacent aisle. Display materials may not extend above 12 feet high along the back wall and no higher than 36 inches on each side of the front 5 feet of your booth.

Euro Suites

All Euro Suites consist of a Display Area (approximately 13' x 6'6") with 36" high side rails and a furnished Conference Room (approximately 13' x 9') constructed of 8' high MIS panels. Also supplied is an identification sign showing your company name, city, state and Euro Suite number.

Conference Units

Conference Units A-B-C are completely walled with 8' high MIS panels and carpeted with an identification sign indicating company name, city, state and suite number. A reversible sign will also be provided for posting indicating "Appointments Only" or "Appointments Available".

Conference Units include a reception area plus 2, 3 or 4 meeting rooms (units A, B, C). Adjustments and modifications in the layout can be made for a small charge by contacting Champion Exposition Services by April 1, 2008. Also, you can order additional walls, tables and chairs at special EDS rates.

Hotel Suites

Hotel Suites are located in the guest room towers of the Paris Las Vegas Hotel. Each Suite consists of a meeting area and private bath. A special suite form must be completed and returned in order for your suite to be set to your specifications.

Audio Visual Equipment

To arrange for a slide projector, screen, DVD player, or other audio visual equipment, complete and return the Audio/Visual Order Form, on the EDS Official Service Companies page, found in the Exhibitor Manual.

Badges

All EDS participants must be badged for admission to the Paris/Bally's Convention Complex. We will mail badges to you if your request is received by April 1st. Exhibitors who submit names for badges after April 1st may pick them up in the Registration Area beginning Sunday, May 4th at 1:00 p.m. There is no charge for Exhibitor badges issued at the Show; however there may be short processing delays.

Display Restrictions

Exhibit Booths, Euro Suites and Conference Units located in the Paris Ballrooms may be used for displays not to exceed 12 feet high.

A sign or banner may be hung above your unit. Refer to the Champion information on EDS Official Service Companies page, found in the Exhibitor Manual.

Hotel Suites are to be used primarily for the purpose of meetings and hospitality. Only display products that can be hand carried and fit on a table may be placed in these Suites.

Electricity

Electrical service may be ordered at the Exhibitor's expense from the official contractor. You will find the order form, prices and complete information included on our website on the EDS Official Service Companies page. 

Please note: If you are ordering food and beverage items that require electrical service (such as a coffee urn), you should make electrical arrangements in advance to avoid an on-site late charge for electrical service to your Exhibit Booth, Conference Unit or Euro Suite.

Exhibit Show Floor Hours

The Exhibit Show Floor will be open from 9:00 a.m. to 5:00 p.m. on Tuesday, May 6th; from 9:00 a.m. to 5:00 p.m. on Wednesday, May 7th; and from 9:00 a.m. to 12:30 p.m. on Thursday, May 8th.  Meetings may be held in the hall outside of the official hours if all meeting participants are wearing a badge.

Fax and Photocopying

Fax and photocopying services as well as other business services are available from the Paris Hotel's Business Center.

Food and Beverage

Information on ordering food and beverage at the Paris Hotel can  be found on the main page of the Exhibitor Manual. The Paris Hotel will accept major credit cards, checks, cash, or if approved in advance, direct billing for payment.

Furniture

To arrange for tables and chairs for your Booth, Euro Suite, or Conference Unit, please refer to the Champion information further down this page.  You will find details about types of conference tables and chairs, sofas, shelves, pricing, etc. 

Meeting Rooms

To make arrangements for a place to hold your sales meeting/cocktail party or awards presentation, contact the Show Office utilizing the Show Meeting Request Form. The meeting rooms are available to exhibitors on days and hours not in conflict with official show days and hours. Meeting room space will be released only to companies officially participating in EDS.

Conference Units and Euro Suites are available for meetings on Monday, May 5th, beginning at 9:00 a.m.

Move-In

Exhibitors may begin to set up their Exhibit Booth, Euro Suite, or Conference Unit on Sunday, May 4th at 2:00 p.m. The Paris/Bally's Convention Complex will be open to exhibitors on Sunday afternoon and all day Monday. Set-up must be completed by 9:00 a.m. on Tuesday, May 6th. During set-up, access to the floor is by badge only. Service badges may be obtained from Show Management in the on-site Show Office.

All freight must be delivered and crates removed from your booth by Monday, May 5th at 7:00 p.m. No heavy equipment will be allowed on the Show Floor on Tuesday, May 6th.

Euro Suites and Conference Units will be available for meetings beginning Monday morning, May 5th, at 9:00 a.m.

Move-Out

Exhibitors and Conference Room participants may begin dismantling their displays after 12:30 p.m. on Thursday, May 8th and continue until 7:00 p.m., when the Paris must be completely cleared. Exhibitors who begin dismantling before 12:30 p.m. on Thursday, May 8th will be penalized by dropping back one full priority block in the EDS 2009 Space Drawing.

Security

Show Management will post guards during move-in, show days and move-out. However, exhibitors are solely responsible for the contents of their space prior to, during and after the Show hours. If you feel additional security is needed for valuable equipment or products, please make the necessary arrangements.

Shipping

Champion Exposition Services is our official drayage and material handling contractor. Shipping instructions can be found on pages 18 - 21 of the downloadable file on the EDS Official Service Companies page, found in the Exhibitor Manual.

Telephones

You may order Booth, Conference Unit, or Euro Suite telephones by completing the order form found on the EDS Official Service Companies page, found in the Exhibitor Manual. Mobile phone operation in the Paris is problematical, although they should work in the foyer.

EDS Show Directory

The EDS Show Program and Directory is a very important tool used during and after EDS. Distributors, Reps and Manufacturers refer to it throughout the year. Your company listing can include product information and names of key distribution contact personnel who are attending EDS.

Your listing in the Show Directory will include your pre-assigned space (unless you specifically instruct the Show Corporation not to publish the number). There is no charge for your listing in the Show Directory.

You can enhance the value of your listing and increase your exposure to this targeted audience by purchasing display advertising. Complete details are listed or contact the Show Manager, Gretchen Oie to obtain rates, specifications and information about special positions.

Outside Contractors

Champion Exposition Services maintains a Custom Service Department designed to handle all of your custom set up and design requirements for your exhibit booth, Euro Suite, or Conference Unit.  

Signage

Show Management will arrange for sign boards listing companies with Hotel Suites to be placed in the main elevator well on each floor of the hotel, and in the Show Registration Area foyer. Management will also prepare Conference Unit, Euro Suite and Exhibit Booth directional signs and major aisle signs.

All Conference Unit participants will be provided a reversible sign indicating "Appointments only — Appointments available" for posting at the entrance to their unit.

Credit/Master Accounts

Applications for establishing a master account at the Paris Las Vegas Hotel are available from the Paris. The application and approval process takes time, so be sure to allow at least 60 days for your account to be approved and established. Because of hotel restrictions, you may find it easier to use a company credit card rather than a master account.  The form for setting up a Master Account is available on the EDS Official Service Companies page, found in the Exhibitor Manual.
